1. What Are Cookies

Cookies are small text files that are placed on your device when you visit a website or use a web application. They are widely used to make websites work more efficiently, provide a better user experience, and give site operators useful information about how their services are being used.

This policy explains what cookies and similar technologies the Arnis platform uses, why we use them, and how you can manage your preferences.

2. How We Use Cookies

Arnis uses cookies and similar technologies for the following purposes:

  • Authenticating users and maintaining secure sessions
  • Remembering your preferences and settings
  • Ensuring the platform functions correctly and securely
  • Understanding how the platform is used so we can improve it
  • Processing payments securely through our payment provider

We do not use cookies to serve advertising or to track you across third-party websites.

3. Essential Cookies

These cookies are strictly necessary for the Arnis platform to function. Without them, core features like logging in, navigating between pages, and accessing secure areas would not work. Essential cookies cannot be disabled.

  • Session cookies: Maintain your authenticated session while you use the platform. These are created when you log in and are used to verify your identity across requests. Session data is stored server-side with a 24-hour expiration.
  • Security cookies: Help protect against cross-site request forgery (CSRF) and other security threats. These ensure that form submissions and API requests originate from authenticated users.
  • Rate limiting cookies: Used internally to enforce API rate limits and multi-contact messaging limits, ensuring platform stability and compliance with messaging regulations.

4. Functional Cookies

Functional cookies allow the platform to remember choices you make and provide enhanced features. These include:

  • User preferences: Remembering your dashboard settings, date range selections, and display preferences so you don't have to reconfigure them each session.
  • Timezone settings: Storing your confirmed timezone for accurate TCPA compliance and business hours display.
  • Debug mode: When enabled by a Super Admin, a debug cookie activates browser console logging to assist with troubleshooting. This is only used in development and support scenarios.

5. Analytics Cookies

We may use analytics cookies to understand how visitors interact with the Arnis marketing website (this site). These cookies collect information in an aggregated, anonymous form and help us improve our website and content.

Analytics cookies may track:

  • Pages visited and time spent on each page
  • How you arrived at our website (referral source)
  • Your general geographic region (country or state level)
  • Browser type and device information

Analytics cookies are not used within the Arnis application itself. The application platform tracks usage through server-side metrics only (such as messages sent, calls completed, and campaign performance) without browser-based tracking cookies.

6. Third-Party Cookies

Certain third-party services integrated with the Arnis platform may set their own cookies. We do not control these cookies, and they are subject to the respective third party's cookie and privacy policies.

6.1 Stripe (Payment Processing)

When you add a payment method or make a payment through the platform, Stripe may set cookies to process transactions securely, detect fraud, and comply with PCI-DSS requirements. Stripe's cookies are essential for payment functionality. For more information, see Stripe's Privacy Policy.

6.2 Twilio (Telephony Services)

Twilio powers SMS messaging and voice calling within the platform. Twilio may set cookies when processing telephony requests. These cookies are functional and necessary for message delivery and call routing. See Twilio's Privacy Policy for details.

6.3 OpenAI (AI Processing)

OpenAI provides the AI conversation engine. API requests to OpenAI are made server-side and do not set cookies in your browser. Your conversation data is processed according to our data isolation architecture, meaning each client's data remains fully separate.

6.4 SendGrid (Email Services)

SendGrid handles transactional emails such as password resets, account notifications, and low balance warnings. SendGrid may use tracking pixels in emails to confirm delivery. These do not set cookies on the Arnis platform itself.

7. Cookie Duration

Cookies used by the Arnis platform fall into two categories based on how long they persist:

  • Session cookies: These are temporary and are deleted when you close your browser or when your session expires. Session cookies on the Arnis platform have a maximum lifetime of 24 hours.
  • Persistent cookies: These remain on your device for a set period or until you manually delete them. Persistent cookies are used for preferences and functional settings. Most persistent cookies on Arnis expire within 30 days.

8. Managing Your Cookies

You can manage cookies through your browser settings. Most browsers allow you to:

  • View what cookies are stored on your device
  • Delete cookies individually or in bulk
  • Block cookies from specific websites
  • Block all cookies from being set
  • Configure notifications when cookies are set

Please note that disabling essential cookies will prevent the Arnis platform from functioning correctly. You may not be able to log in, manage campaigns, or access core features if essential cookies are blocked.

For instructions on managing cookies in your browser:

  • Google Chrome
  • Mozilla Firefox
  • Apple Safari
  • Microsoft Edge

9. Similar Technologies

In addition to cookies, the Arnis platform may use the following similar technologies:

  • Local storage: Used to store non-sensitive preferences and UI state on your device. Unlike cookies, local storage data is not sent to the server with each request.
  • Server-side caching: The Arnis platform uses server-side caching (Redis) extensively for performance optimization, including caching TCPA rules, area code lookups, campaign settings, and conversation context. This caching occurs entirely on the server and does not involve any client-side storage.

10. Updates to This Policy

We may update this Cookie Policy from time to time to reflect changes in the cookies we use or for other operational, legal, or regulatory reasons. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically.
